Terms & Conditions

Clear, transparent terms for our travel document assistance services. We believe in straightforward communication—no confusing legal jargon.

1. About Our Service

Welcome to TravelPassly. We are an independent travel document assistance service that prepares and submits applications on your behalf. Using our service creates no partnership, employment, or franchise relationship—we act as your facilitator, not a government authority.

  • We are not affiliated with any government, embassy, or immigration authority.
  • We review for completeness and format but approvals are solely issued by the destination government.
  • By proceeding, you authorize us to handle application submissions and receive status updates for you.

2. Nature of the Service

We assist with visas, entry permits, arrival cards, and travel authorizations by preparing forms, formatting uploads, and submitting to the correct portal. You grant us a limited authorization to accept government terms required to file your application and to receive the issued document on your behalf.

  • Approvals and timing are determined only by the issuing authority; no submission guarantees an approval.
  • Processing speeds (standard/express/urgent) are estimates based on published guidance and historical data.
  • We may modify or suspend parts of the service; if discontinued before delivery, refunds follow our Refund Policy.

3. User Responsibilities

When using our service, you agree to:

  • Provide accurate, current, and complete data and documents (passport details, travel dates, accommodation, photos).
  • Review all details before payment and promptly supply any missing items we request.
  • Ensure your passport and travel documents meet validity requirements set by the destination.
  • Use the service in good faith and comply with applicable laws and sanctions rules.

4. Processing Times

Processing times are estimates, not guarantees. Delays can occur for government reviews, peak volumes, system outages, security checks, or additional document requests. Apply early to reduce risk of disruption.

  • Speed options (standard/express/urgent) reflect our handling time plus typical authority timing.
  • External checks (e.g., background or manual reviews) can extend delivery beyond estimates.
  • We are not liable for missed travel caused by authority delays or changes.

5. Fees & Payments

All pricing is shown before checkout. Service fees cover our assistance; government or portal fees are listed separately when applicable.

  • Prices may vary by destination, document type, traveler count, and speed selection.
  • Payments are processed by vetted payment providers; we do not store full card numbers.
  • Charges appear under our descriptor; you agree not to dispute solely due to name recognition.

6. Refunds & Cancellations

Refunds follow our posted Refund Policy. Key points:

  • Government/portal fees are non-refundable once paid to an authority.
  • Service fees become non-refundable once we have reviewed or submitted your application.
  • Use the self-service refund option on your status page before opening a bank dispute.
  • Chargebacks for validly delivered services may lead to cancellation of active applications and future blocks.

7. Denials & Rejections

Final decisions are made by the issuing authority. A denial does not entitle you to a refund of service fees, and government fees are almost always non-refundable.

  • If data you provided is incorrect and a new filing is required, new service and government fees will apply.
  • We can guide next steps or re-filing options where available.

8. Data Protection & Privacy

We handle personal data to deliver the service and comply with law. Core principles:

  • We transmit required details (including passport data) to destination authorities to process your application.
  • We use safeguards described in our Privacy Policy but cannot control third-party or government systems.
  • Your use of the service incorporates our Privacy Policy and its international transfer disclosures.

See our Privacy Policy for full details.

9. Limitation of Liability

To the fullest extent permitted by law:

  • We are not liable for indirect, incidental, or consequential damages (missed flights, hotels, loss of use, lost profits).
  • Our aggregate liability is capped at the greater of (a) fees you paid for the service in the last 3 months for that application, or (b) USD $100.
  • Claims must be brought within one year of accrual.
  • Some jurisdictions limit exclusions; where required, we apply the maximum limits allowed.

10. Governing Law

These terms are governed by the laws of New Mexico, USA, without regard to conflict rules. We encourage resolving issues with our support team first.

  • Disputes will be handled on an individual basis; class or representative actions are waived.
  • Where permitted, disputes may be subject to binding arbitration in Bernalillo County, NM, under applicable rules. Small-claims or urgent injunctive relief may be sought where allowed.
  • We may update these terms; continued use after updates constitutes acceptance.
